Building Facilities & Operations Executive
The Building Facilities & Operations Executive is responsible for the effective upkeep, coordination, and operational
readiness of the church’s premises and facilities. The role ensures that all physical spaces, audiovisual systems,
equipment, and logistical arrangements are safe, functional, and well-prepared to support worship services,
ministry activities, and approved external usage.
This role serves as the primary point of coordination for all facilities-related operations. The Building Facilities &
Operations Executive works independently while collaborating closely with church staff, ministry leaders, vendors,
and volunteers to ensure a smooth, orderly, and hospitable environment for all church activities.
The role is also responsible for the administration and coordination of external facility usage, ensuring that
bookings, documentation, payments, and on-site arrangements are carried out in accordance with church policies
and approved procedures.
Responsibilities
Premises Operations & Upkeep
- Ensure the daily operation, safety, cleanliness, and general upkeep of church premises, including all common areas.
- Conduct routine inspections to identify maintenance requirements and ensure adherence to safety, fire, and
building regulations.
- Coordinate repair works, servicing, and preventive maintenance with appointed contractors and service
providers.
- Maintain accurate records and inventories of facilities-related assets, equipment, and supplies.
- Establish and maintain standard operating procedures (SOPs) for facilities usage and operations.
Health, Safety & Compliance
- Ensure compliance with health, safety, and relevant regulatory requirements for both internal activities
and external facility usage.
- Maintain emergency response procedures and respond appropriately to incidents occurring within church
premises.
- Document and report facilities-related incidents and coordinate follow-up actions, including insurance
matters where required.
Vendor & Service Coordination
- Liaise with vendors, contractors, and service providers engaged for facilities-related services.
- Maintain records of maintenance schedules, service agreements, warranties, and operational documentation.
Budget & Cost Administration
- Support the planning, monitoring, and administration of facilities-related expenditure, including
maintenance, repairs, rentals, and operational costs.
- Track expenses and rental income with proper documentation and timely reporting.
- Propose cost-effective improvements and solutions while maintaining quality, safety, and compliance
standards.
- Ensure spending remains within approved limits and obtain necessary approvals for expenses beyond
assigned authority.
Asset & Equipment Operations
- Ensure the usage, storage, upkeep, and lifecycle planning of church-owned furniture, audiovisual
systems, technical equipment, and other assets.
- Recommend repairs, upgrades, or replacements within approved budgets.
- Ensure all equipment is available, functional, and ready for scheduled church services and approved
external activities.
Facilities Booking & Event Support
- Coordinate internal and external bookings of church facilities, ensuring accurate scheduling, appropriate
space allocation, and avoidance of conflicts.
- Arrange venue setup, teardown, and logistical requirements in accordance with event needs and usage
agreements.
- Maintain an up-to-date facilities booking calendar and related operational records.
Audiovisual & Technical Operations
- Operate, maintain, and support all audiovisual systems, including sound, lighting, projection, livestreaming,
and recording equipment.
- Set up, test, and troubleshoot AV systems for worship services, rehearsals, meetings, and events.
- Provide technical support to ministry teams and approved external users where applicable.
- Ensure proper handling, storage, and routine maintenance of all AV and technical equipment.
- Coordinate with and support volunteers assisting with facilities setup, AV operations, or logistics.
- Provide basic guidance and training to volunteers on equipment usage and safety procedures.
External Facility Rentals
- Handle inquiries and coordinate arrangements for approved external use of church facilities, including
site visits, quotations, and booking confirmation.
- Ensure external users complete approved rental agreements and comply with church policies, safety
requirements, and usage conditions.
- Coordinate rental-related administrative processes, including invoicing, payment tracking, deposits,
and post-event checks.
- Act as the on-site point of contact for external users during their usage period.
- Ensure proper inspection, handover, and reinstatement of facilities before and after external events.
- Document incidents, damages, or policy breaches and coordinate follow-up actions as required.
- Ensure compliance with safety guidelines and approved capacity limits at all times.
Preferred Qualifications / Experience:
- Diploma or equivalent qualification in facilities management, operations, technical services, or a related field, or
relevant practical experience.
- Prior experience in facilities management, venue operations, audiovisual/technical support, or event
coordination, preferably in a church, community, hospitality, or similar setting.
- Experience in managing venue rentals, customer coordination, and basic contract or agreement administration
is highly desirable.
- Strong hands-on technical aptitude, particularly in audiovisual systems, basic IT support, and equipment
troubleshooting.
- Ability to work independently, manage multiple responsibilities, and respond effectively to operational,
technical, and customer-related issues.
- Strong organizational, administrative, and time-management skills, with attention to detail.
- Clear communication and interpersonal skills, with the ability to interact professionally with staff, volunteers,
contractors, and external clients.
- High level of reliability, integrity, and discretion, especially when handling contracts, payments, and confidential
information.
- Willingness and ability to work non-standard hours, including evenings, weekends, and public holidays, as
required.
- Physically able to perform manual tasks such as equipment setup, lifting, and venue preparation.
